COLLECTING PERSONAL DATA
During the recruitment process, Now Teach collects a range of information about you, including:
We collect this information directly from you, for example through application forms, CVs, in interviews or other forms of assessment and from other documents you provide us.
We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only once a job offer to you has been made and will inform you that we are doing so.
The information described above is necessary for us before we can enter into a contract of employment with you. If you do not provide this information, we may not be able to manage your application or there may be a delay to our assessment of your application.
Now Teach will use the information described above and will collect additional information about you during the course of your employment. This may be information you provide directly to us, for example during onboarding (including payment information so that we can pay your salary), or may be information generated about you, such as performance reviews, attendance records, holiday records, or pension and insurance contributions.
USING PERSONAL DATA
When you apply for a role at Now Teach, we use your personal data to assess your application and complete the application process, which involves assessing your suitability for employment. This is necessary for us to take steps before we enter into a contract with you.
In some cases, we need to process data to ensure that we are complying with its legal obligations. For example, it is mandatory to check a successful applicant’s eligibility to work in the UK before employment starts.
Now Teach has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process, for example if we need it to respond to and defend against legal claims.
If your application is successful, we use your personal data to do all the things you would expect in the course of your employment. We will use it to comply with our contractual obligations to you, for example to pay your salary and manage any benefits you have chosen. We will also use it to comply with any legal obligations we are subject to, such as reporting on statutory sick pay (which may involve the use of medical data), or to manage our business most effectively, to meet our legitimate interests in, among other things, managing staff resources, carrying out training and performance appraisals, and keeping our records accurate and up to date.
SHARING PERSONAL DATA
Your information may be shared internally for the purposes of the recruitment process. This includes members of the HR, IT and Operations team as appropriate, and staff members who are directly involved in the recruitment process.
If your application for employment is successful and we make you an offer of employment, we will then share your data with former employers to obtain references for you, employment background check providers to obtain necessary background checks.
As part of the recruitment process and your employment, we may share your personal data with third parties who perform services on our behalf. For example, we use MyInterview for video interviews and CezanneHR as our HR software.
RETENTION OF PERSONAL DATA
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your Human Resources file (electronic) and retained during your employment. We retain your personal data for the length of your employment, and for an additional period to allow us to comply with our legal obligations, to keep records for audit purposes, and to ensure we are able to defend our legal claims and protect our rights.
If your application for employment is unsuccessful, the organisation will hold your data on file for twelve months after the end of the relevant recruitment process for consideration for future employment opportunities.
YOUR RIGHTS OVER YOUR PERSONAL DATA
Please let us know if any of your personal data that we hold about you changes so that we can correct and update the information on our systems. You have the right to require Now Teach to delete or update your personal data, including if and in what format you would like to be sent marketing communications.
You also have the right to ask us for a copy of the information we hold about you or ask us to correct it if you think it is wrong. In certain circumstances you may object to specific processing activities, require us to restrict how we process your personal information and ask us to share your personal information in a usable format with another company.
